To communicate effectively with our guests, we have four to five messages that go out automatically for every reservation. We also have messages related to shortcodes specific to each property. If a property has a pool, we have shortcodes related to the pool's depth length and whether it's heated, which are different kinds of things.

Personal Touches While automation is crucial, adding personal touches can make a big difference. Personalized welcome notes, local recommendations, and a small welcome gift can create a memorable experience for your guests, encouraging repeat bookings and positive word-of-mouth. We always try to see what people are doing for their trip, so we try to participate and have a little bit of unexpected Hospitality if somebody's having an engagement, maybe give some flowers if somebody's having a graduation party, we might give a little cake just different things to allow people to enjoy what they're going to the space for and be able to remember back like all they got me this little thing experience.

Although your management should check inventory monthly, a comprehensive inventory check should be carried out during the deep clean. Additionally, it is good practice to have a new photoshoot to update the property’s photos during this time. We do this annually or biennially to ensure the images accurately reflect the property's current condition. Reshooting the property helps manage expectations effectively, mainly if significant changes, like replaced furniture, have occurred.

However, in some cases, you may need to visit the county's website to submit revenue verification from your bookings. If applicable, you will need to pay these taxes directly.

We always recommend contacting your city to understand its regulations and procedures, including fines for operating without a license. Additionally, it is wise to consult with a local real estate lawyer. If you are operating in Southeast Florida, we have contacts with realtors and lawyers who can assist you.

Insurance and Protection Standard homeowner’s insurance typically doesn’t cover short-term rentals. Ensure you have adequate business insurance to protect against potential liabilities, damages, or guest injuries. Some management software solutions offer insurance integration to streamline this process.

We recommend that all homeowners include a short-term rental clause in their insurance policy. Some insurance providers do not offer this, so we can refer you to a provider that does. This strategy allows you to command higher prices during peak times. Consider offering more extended discounts for the low season and shorter discounts for the high season to attract bookings accordingly. Dynamic pricing will enable price variability, adjusting your rates in response to market conditions. It is recommended to update your pricing on these platforms every 24 hours to show that your listing is active and responsive to market trends.

We use price labs to manage pricing. It's a tool that I have used for over two years. There are a couple of other tools that I have tried, but I have yet to have that much of a positive experience with them. Managing over 20 rentals now with Price Labs allows me to get in there bi-weekly, twice a week. I get in there, see what the demand is, and see if I have to change things going into the next month. When doing this, I'm looking at the supply and demand of the local market that I have outlined about the property that I'm looking at. Apart from that, I also look at the hotels and see what they are pricing about events and other things since they have a lot of demand and Supply data, which we have as short-term rental/ Airbnb operators.

 We do not recommend you do manual pricing because it's very time intensive, and you have to know all the intricacies of events going on and different things, so using a tool allows you to have seven to eight different variables that fluctuate what that daily rate should be and update that daily for you. We recommend monitoring pricing performance at least every week. At Stay Maven, we conduct checks twice weekly, usually on Wednesdays and Saturdays. Towards the end of the month, I review the occupancy for the next three months to assess the upcoming quarter. During this review, I determine if there are any necessary adjustments, such as a percent decrease in ADR (Average Daily Rate) for the first month and potential discounts for the following two months.

This involves a specific checklist tailored to the property but generally includes the following tasks:

  • Check the AC: Ensure the AC is functioning correctly, and check the filter to ensure it’s pulling properly.
  • Inspect door knobs: Tighten any loose door knobs, as they tend to become loose frequently in short-term rentals.
  • Check kitchen cabinets: Ensure all cabinets are securely fastened.
  • Maintain sliding doors: Open and close sliding doors, oiling them as necessary to prevent them from getting stuck, which can cause both experience issues for guests and long-term maintenance problems.

Our cleaners also inspect the properties and notify us of any issues. We aim to address these concerns within the week. Initially, we assess the problem ourselves; if it requires professional repair, we contact the appropriate tradesperson, such as a plumber or electrician, to provide a quote.

We always obtain at least two additional quotes for maintenance or property changes exceeding $500 to ensure we receive the best possible price and service.

Professional Cleaning Hiring professional cleaning services ensures your property is always guest-ready. Consider using platforms like Turno to find reliable cleaning professionals. Including a cleaning fee in your listing can help cover these costs. Professional cleaning is crucial, and having a system that connects cleaning schedules to the calendar and maintains a photo log for reference is essential. We use Turno for this purpose. It allows us to synchronize our cleaners with our calendar and maintain an inventory. Additionally, Turno provides a photo log for pre- and post-cleaning inspections. This is invaluable if a guest raises an issue, as we can reference the photos to determine whether the problem existed before the guest’s stay or if the guest caused it.

After four years in operation, we've found that such conflicts occasionally arise. While we prefer not to blame the guest, having this system allows us to verify the property's condition and address any concerns accurately.
